Project Roles and Responsibilities

  • Compare the roles and responsibilities of the project manager and the project sponsor
  • Compare the roles and responsibilities of the project team and the project sponsor
  • Explain the project manager's roles: initiator, negotiator, listener, coach, working member, and facilitator
  • Explain the differences between leadership and management
  • Explain emotional intelligence (EQ) and its impact on project management

The project sponsor champions the project, secures funding, and removes organizational-level obstacles the project manager can't clear alone; the project manager runs the day-to-day — planning, coordinating, and delivering. The project team executes the work, and like the project manager, looks to the sponsor for authority and resources the team itself doesn't hold — CAPM questions in this area are usually "who does this responsibility belong to," not abstract definitions.

A single project manager plays several roles depending on the moment: initiator when starting new work, negotiator when resolving a resource conflict, listener and coach when developing the team, working member when hands-on contribution is needed, and facilitator when running a meeting or workshop. None of these is "the" role of a PM — all of them are, situationally. Leadership and management are related but distinct: management focuses on planning, organizing, and controlling to meet defined objectives; leadership focuses on inspiring, motivating, and setting direction, often without formal authority at all.

Study focus: emotional intelligence — the ability to recognize and manage your own emotions and read other people's — is tested as a practical skill, not a soft-skills aside. A project manager who notices a team member's frustration building during a status meeting and addresses it privately afterward, rather than ignoring it or confronting it publicly, is applying EQ; PMI treats this as core project management competence, equally weighted with technical planning skill.
